We collect personal information that you voluntarily provide when you register, express interest in our products, participate in activities, or contact us. This may include:
- Names and email addresses
- Job titles and usernames
- Billing addresses and payment instrument numbers (handled by Dodo Payments and Stripe)
- Résumé / CV data and employment history
- Job application data and Gmail/email data
- Contact or authentication data and contact preferences
Sensitive Information. We do not process sensitive information.
Payment Data. All payment data is handled and stored by Dodo Payments and Stripe.
Social Media Login Data. If you register using a social media account (e.g. Google), we will collect certain profile information from that provider.
Information automatically collected
We automatically collect certain information when you visit or use the Services, including IP address, browser and device characteristics, operating system, language preferences, referring URLs, and usage data. We also collect information through cookies — see our Cookie Notice at jobtrac.app/cookies.
Google API
Our use of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
Information collected from other sources
We may obtain information about you from public databases, joint marketing partners, affiliate programs, data providers, and social media platforms to enhance our ability to provide relevant services.
2. How Do We Process Your Information?
We process your personal information to provide, improve, and administer our Services, communicate with you, for security and fraud prevention, and to comply with law. Specific purposes include:
- Facilitate account creation, authentication, and account management
- Deliver and facilitate delivery of services to the user
- Respond to user inquiries and offer support
- Send administrative information and request feedback
- Protect our Services through fraud monitoring and prevention
- Identify usage trends to improve the product
- AI-powered document generation: Your profile, work history, and job descriptions are used to generate personalised, ATS-optimised résumés and cover letters via AI.
- Gmail integration for application tracking: Your Gmail data is accessed via OAuth to detect job-related emails and automatically update application statuses in your pipeline.
3. What Legal Bases Do We Rely On?
If you are located in the EU or UK, we rely on the following legal bases under GDPR / UK GDPR:
- Consent — where you have given us permission for a specific purpose. You may withdraw consent at any time.
- Performance of a Contract — where processing is necessary to fulfil our contractual obligations to you.
- Legitimate Interests — to analyse service usage, diagnose problems, improve user experience, and deliver the core AI-powered functionality users signed up for.
- Legal Obligations — where processing is necessary for compliance with applicable law.
- Vital Interests — where necessary to protect vital interests of you or a third party.
If you are located in Canada, we may process your information with your express or implied consent, which you may withdraw at any time.
6. Do We Offer Artificial Intelligence-Based Products?
Yes. As part of our Services, we offer AI-powered features including résumé and cover letter generation and text analysis. We provide these through third-party AI Service Providers, including OpenAI. Your input, output, and personal information will be shared with and processed by these providers to enable the AI features.
You must not use the AI Products in any way that violates the terms or policies of any AI Service Provider. All personal information processed using our AI Products is handled in line with this Privacy Notice.
8. How Long Do We Keep Your Information?
We keep your personal information only for as long as necessary to fulfil the purposes in this Privacy Notice, unless a longer retention period is required or permitted by law. In general, we retain your data for as long as you maintain an account with us.
When we have no ongoing legitimate business need to process your personal information, we will delete or anonymise it, or securely store and isolate it until deletion is possible.
9. How Do We Keep Your Information Safe?
We have implemented appropriate technical and organisational security measures to protect your personal information, including:
- Encrypted database connections (TLS)
- OAuth 2.0 for third-party sign-in (Google)
- Rate limiting on authentication endpoints
- Real-time error monitoring
However, no electronic transmission over the Internet or information storage technology can be guaranteed to be 100% secure. You should only access the Services within a secure environment.
10. Do We Collect Information From Minors?
We do not knowingly collect, solicit data from, or market to children under 18 years of age. By using the Services, you represent that you are at least 18, or that you are the parent or guardian of a minor and consent to their use of the Services.

12. Controls for Do-Not-Track Features
Most web browsers and some mobile operating systems include a Do-Not-Track (“DNT”) feature. Because no uniform technology standard for recognising and implementing DNT signals has been finalised, we do not currently respond to DNT browser signals.
California law requires us to disclose this position. If a standard is adopted in the future, we will update this notice accordingly.

14. AI Processing and Third-Party API Usage
Our service uses third-party AI APIs (including OpenAI) to process your personal and professional information for the purpose of generating tailored résumés and cover letters. By using our service, you acknowledge that relevant portions of your profile data are transmitted to these APIs solely to deliver this functionality.
We do not use your data to train AI models. Data transmitted to third-party APIs is governed by their respective privacy policies.

We may update this Privacy Notice from time to time. The updated version will be indicated by an updated date at the top of this notice. If we make material changes, we may notify you by prominently posting a notice or by sending you a direct notification. We encourage you to review this notice frequently.
